3. Event and webinar registration and attendance

3.1 Registration

Registration for any CE-EM event or webinar (including but not limited to FAIS, CIFB, IFB, and any standalone or sponsor-supported webinar) is subject to acceptance by us. We reserve the right to refuse or revoke registration where we reasonably consider attendance inconsistent with the professional, closed-door, or decision-maker nature of the event, or where registration has been made in breach of these Terms. Where a registration is revoked after acceptance due to error or breach of these Terms, any registration fee paid will be refunded in full.

Where webinars or sessions are accessed through a third-party event platform (for example, Virtual Pro/Brandlive, or successor platforms), these Terms apply in addition to the platform's own terms of use.

3.2 Fees and payment

All fees are quoted exclusive of VAT unless otherwise stated. Payment is due in full prior to the event or webinar unless we have agreed alternative terms in writing. Access will not be granted until payment has been received in cleared funds.

3.3 Cancellations, refunds and substitutions

Except where required by law, all bookings are non-refundable. Once a registration has been confirmed, the fee is non-refundable in all circumstances, including non-attendance.

Name substitutions are permitted up to seven (7) calendar days before the first day of the event, provided that the replacement attendee meets the same eligibility criteria as the original registrant. Substitution requests must be made in writing to hayley@ce-em.com and are subject to our written confirmation.

Inside the 7-day window, substitutions will be considered at our sole discretion and may be refused.

Free webinars and free-to-attend sessions are non-transferable; the registered individual is the only person entitled to attend or access the recording.

3.4 Changes by us

We reserve the right to change the programme, speakers, format, venue, date, or technology platform of any event or webinar without liability. Where the event or webinar proceeds in materially the same form, no refund will be due.

If we cancel an event in full and do not reschedule it within twelve (12) months of the original date, we will, at our discretion, either issue a credit of equivalent value redeemable against another CE-EM event or Insights product, or refund the registration fee.

3.5 Force majeure

We are not liable for any failure or delay in performance caused by events outside our reasonable control, including (without limitation) acts of God, war, terrorism, civil unrest, government action, pandemic or public-health emergency, fire, flood, strike, transport disruption, or failure of utilities or telecommunications. In such circumstances, we may postpone, reschedule, move online, or cancel the event. Where an event is moved online or to a new date, no refund will be due and your registration will transfer to the rescheduled event.

3.6 Conduct

By attending a CE-EM event or webinar you agree to behave professionally and to comply with all venue rules, platform terms, and any instructions given by our staff. We reserve the right to refuse admission to, or remove from, any event or session any person whose conduct we consider to be disruptive, offensive, or in breach of these Terms, without refund.

3.7 Attendee directory and platform visibility

For in-person events, we use an event platform (currently Hubilo) to manage the agenda, speaker bios, networking, and on-the-day logistics. Confirmed delegates are added to the platform's attendee directory shortly before the event.

Your visibility in the attendee directory comprises your name, job title, and organisation. No other personal data (including email address or phone number) is visible to other attendees or sponsors through the directory.

Other delegates and sponsors may use the platform to send you direct messages. You can choose whether to respond and what additional information (if any) to share in those conversations.

If you would prefer not to appear in the attendee directory, contact info@ce-em.com and we will remove you. Your attendance and access to the event itself is not affected by this choice.

4. Closed-door sessions, Chatham House Rule, and recordings

4.1 Closed-door sessions and the Chatham House Rule

All CE-EM events, sessions and webinars are closed-door and held under the Chatham House Rule, unless we expressly state otherwise in writing for a specific session.

Under the Chatham House Rule, participants are free to use the information received, but neither the identity nor the affiliation of the speaker(s), nor that of any other participant, may be revealed.

By attending or accessing any CE-EM session, you agree:

  • Not to attribute any statement, view, or information to any named individual or organisation in attendance, in any external communication, publication, social media post, or report;
  • Not to record, photograph, livestream, transcribe, or otherwise capture any session (in whole or in part) without our prior written consent;
  • Not to share session materials, slides, recordings, or transcripts with any third party; and
  • To treat all discussions, documents, and participant lists as confidential.

Breach of this clause may, at our discretion, result in removal from the event, cancellation of future access, recovery of damages, and reporting to relevant professional bodies.

4.2 Recordings, materials and content rights

Webinars are recorded. In-person events and sessions are not routinely recorded for distribution; where any recording is made of an in-person event, it is for CE-EM's internal or marketing use only and is not made available to attendees, sponsors, or third parties.

All recordings, transcripts, slides, summaries, chat logs, and Q&A reports produced by CE-EM are the exclusive property of CE Events & Media Ltd.

Where we make a recording available, it will be hosted on a platform of our choosing (which may include our website, our Insights platform, or a third-party event platform). Access is granted on a view-only basis to confirmed registrants, attendees, and (where agreed) sponsors of the session.

We do not provide raw video files, audio files, transcripts, or session materials to attendees, sponsors, speakers, or other third parties. Sponsors and speakers may share the link to the hosted recording but may not download, host, edit, or redistribute the underlying file without our prior written consent.

Use of recordings or session materials for scraping, automated extraction, data mining, or for the purpose of training, fine-tuning, evaluating, or developing any artificial-intelligence, machine-learning, or large-language-model system is expressly prohibited.

5. Media, press and coverage

5.1 Journalists not admitted

Working journalists, reporters, members of the press, and any individuals attending in a media or editorial capacity are not admitted to any CE-EM event, session, or webinar, whether in person or virtual, unless we have agreed otherwise in writing in advance.

If you attend in any media or editorial capacity (whether staff, freelance, contributing, or commissioned) you must disclose this at the point of registration. Failure to disclose will be treated as a material breach of these Terms and may result in immediate removal without refund, and recovery of damages.

5.2 Use of CE-EM content, branding or quotes by third parties

No person or organisation may publish, broadcast, or distribute any article, blog, report, podcast, video, social-media post, or other content that:

  • Quotes, paraphrases, or characterises any speaker, panellist, or attendee of a CE-EM event or webinar without their explicit agreement in writing;
  • References material drawn from any CE-EM Insights product (reports, mini-briefings, interviews, webinars or bundles); or
  • Uses the CE-EM name, the names of our events (including FAIS, CIFB and IFB), or our logos and branding,

without our prior written consent.

5.3 Conditions of consent

Where we agree, in writing, to permit any third-party coverage, the following conditions apply as a minimum:

  • Attribution. The coverage must clearly attribute the quoted or referenced material to CE Events & Media Ltd (or the specific event or Insights product, as agreed).
  • Naming. The CE-EM name, or the name of the relevant event or Insights product, must appear in the headline or title of the piece, unless we agree otherwise in writing.
  • Pre-publication sign-off. The final draft of the piece must be submitted to us for written approval at least five (5) working days prior to publication. We may require corrections, amendments, or removal of specific content. Publication may not proceed until we have provided written sign-off.
  • Scope. Consent is granted on a one-off basis, for the specific piece and outlet identified, and does not extend to onward syndication, republication, or reuse without further written consent.

Unauthorised coverage, breach of any of the above conditions, or any reporting that misrepresents CE-EM, our events, or our content, will be treated as a material breach of these Terms. We reserve all rights and remedies including, without limitation, takedown requests, claims for breach of confidence, and claims for damages.

5.4 Our own media

We may, at our discretion, record, photograph, or film parts of our events for our own marketing and editorial use. Where this occurs, attendees will be notified in advance and given the opportunity to opt out of being individually identifiable. Use of attendees' likenesses will be in accordance with our Privacy Policy.

6. Sponsorship and sponsor data sharing

6.1 Sponsorship agreements

Sponsorship of CE-EM events and webinars is governed by a separate written sponsorship agreement between us and the sponsor. These Terms apply in addition to, and do not replace, any such agreement. In the event of conflict, the signed sponsorship agreement prevails.

Sponsorship fees are non-refundable once invoiced. Sponsors may not transfer their sponsorship rights to any third party without our prior written consent.

Sponsors must not use CE-EM branding, event names, recordings, or attendee data in any way not expressly permitted in their sponsorship agreement and these Terms.

6.2 Sponsor data sharing - in-person events

For in-person events, sponsors receive:

  • An attendee list containing job title and organisation only. Names, email addresses, phone numbers, and other direct contact details are not included in the attendee list shared with sponsors. The list is provided to support sponsors in preparing for the event and identifying delegates of interest.
  • Visibility through the event platform attendee directory, where confirmed delegates' names, job titles, and organisations are visible to other attendees and sponsors (see clause 3.7). Email addresses and other contact details are not visible through the directory.
  • Aggregated, anonymised post-event reporting (including total registrations, attendance numbers, and high-level engagement metrics).

Where a sponsor has purchased a meetings package, the sponsor identifies delegates of interest from the attendee list (by job title and organisation) and CE-EM manages the outreach, scheduling, and confirmation of meetings on their behalf. Direct contact details of delegates are not shared with sponsors at any point in this process.

Beyond the above, no registrant or attendee data is shared with sponsors of in-person events.

6.3 Sponsor data sharing - webinars

For webinars, sponsors receive:

  • Aggregated session reporting (total registrations, live attendance, on-demand views, headline engagement metrics).
  • Chat and Q&A output from the session, including attendee names and contributions where these were made visible during the session by the attendees themselves.
  • Opt-in attendee data: where you tick the consent box at the point of registration to share your details with the named sponsor of the webinar, we will share your name, job title, organisation, and email address with that sponsor for them to follow up with you directly. You can withdraw your consent at any time by contacting us at info@ce-em.com or contacting the sponsor directly.
  • UTM-attributed contacts (where applicable): where a sponsor has promoted the webinar using a tracked link we provided to them, we may share with that sponsor the list of contacts attributed to their tracked link.

In limited circumstances, and on a case-by-case basis, we may share a registrant list with a sponsor strictly for the purpose of suppression (to enable the sponsor to remove these contacts from their own parallel marketing and avoid double-touch). Data shared on this basis is contractually restricted: the sponsor may not use it for direct marketing or any other outreach purpose and must delete it once the suppression exercise is complete.

6.4 Sponsor data sharing - Insights products

Purchasers of CE-EM Insights products (reports, mini-briefings, interviews, recorded webinars sold as content, and bundles) are not shared with any third party, including sponsors. Only aggregated, anonymised numbers (such as total downloads or subscriber counts) may be shared in commercial or marketing contexts.

6.5 Sponsor obligations on outreach

Any sponsor receiving registrant or attendee data under clauses 6.2, 6.3 or 6.4 must:

  • Conduct any direct marketing in accordance with UK GDPR and PECR, including by relying on a valid lawful basis (typically consent or a documented legitimate-interests assessment for B2B contacts), honouring opt-outs promptly, and providing clear sender identification and unsubscribe mechanisms;
  • Respect the basis on which data was shared, and not repurpose data shared for one basis for use under another;
  • Comply with all applicable laws in their own jurisdiction in addition to UK GDPR and PECR, where they are based outside the UK and EU;
  • Treat all data received as confidential and not share it onward with any other party.

7. Post-event communications

Following an event or webinar, we may contact registrants and attendees with:

  • Service communications, including links to recordings, slides, or related materials;
  • Survey requests and feedback forms;
  • Marketing communications about related events, Insights products, and partner offerings, where you have consented or where we have a legitimate interest in doing so.

We handle follow-up communications to registrants who did not attend live (no-shows) ourselves. Sponsors do not receive lists of non-attending registrants for the purpose of direct marketing.

You can opt out of marketing communications at any time using the unsubscribe link in any email or by contacting info@ce-em.com.

8. Insights products

CE-EM Insights products (including reports, mini-briefings, interviews, webinars sold as content, and bundles) are sold for the personal, professional use of the named purchaser only.

Unless we have agreed an enterprise or multi-seat licence in writing, you may not:

  • Share, forward, redistribute, or upload Insights content to any shared drive, intranet, or third-party platform;
  • Reproduce, republish, or quote material from Insights content in external communications without our prior written consent (clause 5 applies); or
  • Use Insights content to train, fine-tune, or evaluate any artificial-intelligence, machine-learning, or large-language-model system.

All Insights purchases are non-refundable once access has been granted.

9. Intellectual property

All intellectual-property rights in our website, branding, event materials, recordings, Insights products, and any related content are owned by, or licensed to, CE Events & Media Ltd. No rights are granted to you other than the right to use the materials strictly in accordance with these Terms.

10. Liability

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability which cannot be limited or excluded under English law.

Subject to the preceding paragraph:

  • We will not be liable for any indirect, consequential, special, or punitive loss, or for any loss of profits, revenue, business opportunity, goodwill, or anticipated savings;
  • Our total aggregate liability to you in connection with these Terms, your registration, your attendance, or your purchase of any Insights product, shall not exceed the total amount paid by you to us in the twelve (12) months preceding the event giving rise to the claim.

11. Data and privacy

Our collection and use of personal data is governed by our Privacy Policy, available at ce-em.com/legal/privacy-policy/. By using our website, attending our events or webinars, or purchasing our products, you confirm you have read and understood that policy.

12. Changes to these Terms

We may update these Terms from time to time. The version in force at the time of your registration, sponsorship, or purchase will govern that booking. Continued use of our website following any update constitutes acceptance of the updated Terms.

13. Governing law and jurisdiction

These Terms, and any dispute or claim arising out of or in connection with them or their subject matter (including non-contractual disputes or claims), are governed by and construed in accordance with the laws of England and Wales.

The courts of England and Wales have exclusive jurisdiction to settle any such dispute or claim.
